Follow-up Guidelines
Last updated: February 10, 2025
Overview
Effective follow-ups help maintain engagement without overwhelming recipients. Sending too many follow-up messages can lead to spam reports, number blocks from Apple, and reduced delivery rates. Use these best practices to follow up strategically.
1. Frequency of Follow-Ups
Maximum of 2 follow-up messages per week.
Reduce frequency if no response to avoid being reported as junk.
Excessive follow-ups can lead to:
Spam reports
Number blocks from Apple
Reduced message deliverability
2. Avoid Excessive Follow-Ups
Why? Too many follow-ups (e.g., 10 messages in 2 days) increase the risk of getting flagged as spam or blocked.
Best Practice: Limit follow-ups to just two additional messages after the initial contact.
3. Re-Engagement Strategies
If a recipient hasn’t responded, use low-friction messages to restart the conversation:
"This is [NAME] right?"
"Did you get the meeting link?"
These messages feel natural and encourage a response without sounding pushy.
Warning: Managing Multiple Workflows
When a lead is in multiple workflows (e.g., meeting scheduled and appointment reminders), ensure that the total number of messages sent without a response does not exceed 5 texts.
Best Practice: Use Wait for Reply actions to reduce the number of unresponded messages and avoid overwhelming the recipient.
